I made my immediate supervisor and my HR admin aware when we were added as a waiting family. When we matched I sent them a follow-up and also contacted our FMLA third party administrator, UNUM, and gave them a heads-up. Then baby came early (just three weeks later). I had the paperwork ready and sent it in.
If you make a good faith effort to keep folks aware of the possible timelines - I feel like they can’t take issue. It’s a benefit you are entitled to.
